Getting started for admins

Welcome to Staffvelox! In this article, we’ll walk you through how to set up Staffvelox for your organization.

This article is for owners and managers. If you are an employee, then refer Getting started for employees.

Step 1: Sign up for your organization

Create an account for your organization.

  1. Go to
  2. Click Start Free Trail.
  3. Enter your name, email address, password and organization name.
  4. Click Sign up

You will get 14-day free trial with access to all the features except text/SMS notification. You are the account owner of your organization account. We’ll send all the billing related emails to the email address you have entered here.

Step 2: Add locations

Using locations, you can manage separate schedule for your stores, departments or teams. If you have single schedule, then you can skip this step and move to next step.

If you have multiple schedules, then create a location for each schedule. You can edit the location that is already created with your organization name.

  1. Go to Settings –> Locations.
  2. Click Add Location.
  3. Enter location name.
  4. Click Save Location.

Step 3: Add positions

Positions can be job roles, job types or job titles. Default Position is created automatically and you can rename it.

  1. Go to Settings –> Positions.
  2. Click Add Position.
  3. Enter position name and choose a color.
  4. Click Save Position.

Step 4: Add employees

Now, add your employees and assign them locations and positions. You need to assign at the least one location for an employee.

  1. Go to Employees tab.
  2. Click Add Employee.
  3. Enter employee’s information.
  4. Assign locations, positions.
  5. Click Save Employee.

You can invite your employees to give them access to their schedule. Learn more about Managing Employees.

Step 5: Create and publish schedule

Now, you can create shifts for your employees from Schedule tab.

  1. Go to Schedule tab.
  2. Click + in the cell corresponding to the required date and employee
  3. Fill shift details
  4. Click Save Shift

You need to publish the schedule to send notification to your employees.
